Your Tasks

We are seeking a highly organized and efficient Office Coordinator to oversee administrative operations across three locations. The successful candidate will play a crucial role in ensuring smooth and efficient office management, coordinating activities, and providing support to staff members across all locations.

Responsibilities:

  1. Office Management:
    • Oversee and manage daily office operations at three locations.
    • Maintain office supplies inventory and ensure availability at all times.
    • Coordinate office maintenance, repairs, and renovations as needed.
  2. Administrative Support:
    • Provide administrative support to staff members across all locations, including traveling.
    • Handle incoming inquiries, correspondence, and direct them to the appropriate personnel.
  3. Facilities Coordination:
    • Collaborate with facilities management teams to ensure a safe and functional work environment across all locations.
    • Coordinate office space planning, furniture, and equipment needs for new and existing staff.
  4. Event Coordination:
    • Assist in planning and coordinating office events, meetings, and trainings across the three locations.
    • Arrange logistics for meetings, including room setup, catering, and audio-visual equipment.
  5. Communication and Coordination:
    • Serve as a point of contact for staff members at all locations, ensuring effective communication and coordination.
    • Facilitate inter-office communication and collaboration between the different locations.

Your Skills

  • Proven experience as an office coordinator, office manager, or similar role.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficient in MS Office and office management software.
  • Ability to multitask and prioritize tasks effectively.
  • Driver license and willingness to travel across 3 locations (Poznań, Środa Wielkopolska, Radom).
  • Knowledge of facilities management and administrative procedures.
  • Proactive and solution-oriented approach to problem-solving.
